This post is also available in: Português English Español

Even though it dropped by 4% from 2017 to 2018, the number of unwanted emails sent worldwide remains high. According to website securelist.com, 52% of emails are classified as unwanted or spam. Brazil occupies the 5th position in this ranking, being responsible for 4.87% of shipments.

This type of practice generates several problems, especially when it comes to companies. Loss of time for the classification of legitimate messages, occurrence of phishing and malware of the most varied types, overload of the e-mail service, need for investment in tools to control spam (antispam), among others.

In this blog post, introductory content for environmentalizing spam will be presented, as well as initial guidelines to reduce the negative impacts generated by them on corporate structures. Read on!

What is SPAM and how did it come about?

Generally speaking, spam is a message sent without the recipient’s approval or request. Whoever performs this type of activity is known as a spammer, and the practice is called spamming. In most cases, spam is sent to a huge number of addresses and may contain advertising content or content that aims to damage the equipment and obtain information from users.

The emergence of Spam is shrouded in controversy; however, we will present the version that reports the emergence on March 5, 1994. On the day in question, two lawyers, Canter and Siegel, sent propaganda messages from a North American lottery to a group of USENET’s discussion, which generated great inconvenience and indignation on the part of the subscribers.

Approximately one month after the event, not satisfied with the repercussion of the first dispatch, the two lawyers repeated the act (April 12), in even greater proportions, sending mass propaganda to various groups and discussions, also from USENET, using software to automate the process.

Spam damage to your business

The Brazilian Internet Steering Committee provides a specific page, antispam.br which, in addition to other things, covers a little about the damage that spam can bring to your business.

One of the major problems generated by this practice is the loss of productivity of the recipient. The user who has a lot of spam in their inbox needs to select and delete one by one and also, if they want to avoid new unwanted messages, they need to mark it as spam and even block the sender. The few seconds of doing this can make a big difference at the end of a week, for example.

The massive receipt of spam can fill an inbox, causing a huge waste of time for the total elimination of unwanted items received and, mainly, preventing important messages from arriving, since the volume often makes the space limit of the box user’s email address is exceeded.

And, of course, we must also remember that spam can generate losses through information theft, virus installation and other phishing techniques.

Antispam techniques for companies

With data loss prevention features, corporate antispams work, above all, with deep filtering and blocking incoming and outgoing e-mails. In this way, the company can:

  • Configure the antispam solution to prevent sending/receiving messages that contain specific terms;
  • Make it impossible to send/receive attachments with certain formats and/or content;
  • Stipulate a maximum file size standard per submission;
  • Control a list of recipients or senders who can exchange e-mails with corporate users;
  • Create policies where suspicious content, senders or recipients are quarantined before the email is actually sent;
  • Implement a limit for sending e-mails by users, who may accidentally become infected and send information out indiscriminately, or else use the legitimate e-mail service to send spam on behalf of other people;
  • Audit e-mails transparently, both for sending and receiving e-mails
